Terms & Conditions and Privacy policy for Swing Dance Luxembourg Courses

 

  1. Purview

These Terms & Conditions and Privacy Policy are between participants of courses organised by Swing Dance Luxembourg association (organisers of the courses). By participating to the courses and entering the course location, you agree to these terms.

  1. Registration

The registration for the courses is completed through our registration system. By filling out and submitting this registration, the registering person is confirming their intent to participate in the chosen series of courses. Submitting the registration form on the website does not guarantee participation to the courses. The number of available spots for each course is limited and is determined by the organisers. In case all the spots in any given course have been filled, registrants may be put on a waiting list or their registration might not be able to be accepted. Swing Dance Luxembourg reserves the right to redirect the registering person to another course, in case the dance requirements for their registering course are not met. After the organisers can confirm the participants’ registration, the participant will receive an email confirming his/her registration together with payment information. The course fee is to be paid within 1 week after the confirmation email is received. You will receive an email for each confirmed course. If within 1 week after receiving the confirmation email the registrant hasn’t proceeded with payment, his or her registration may be cancelled. It is not possible to have a trial class in the semester courses. Class participation is determined on a basis of confirmed registrations that have been paid fully before the start of courses. 

Registration is valid for the chosen semester or series of courses. It is not possible to register for single classes.

  1. Cancellation Fee, Cancellation of Contract

a. Cancellation by a participant

In case of inability to attend the series of courses registered for, participants can transfer their booking to any other person of their choice of the same role (leader/follower) and level, as long as the organisers are informed about the transfer at least one week before the beginning of the courses. In case of cancellation (after we have received your payment) communicated to the organisers 10 days before the start of the relevant course, 75% of the participant fee will be refunded. In case of late cancellation (i.e. later than 10 days before the start of the course), no refund is possible. Business obligations, work- or business travels, illness, vacation or the lack of childcare cannot be accepted as a reason for refunding the fee in case of late cancellation. 

b. Cancellation by Swing Dance Luxembourg 

Swing Dance Luxembourg withholds the right to cancel a full course in case the minimum number of participants is not reached. In that case, all participants who have already paid for that course will be refunded for their course fee. 

In case classes have to be cancelled due to government mandated measures related to Covid-19 or any other pandemic, all outstanding classes will be kept as credit and the remaining classes will be planned on a later date if possible. In case classes cannot be rescheduled, the outstanding credit will be refunded to the students by the organisers. A call for donation to cover the association‘s costs will be made.

  1. Responsibility for Injuries and Personal Belongings

Swing Dance Luxembourg does not take responsibility for accidents or losses, thefts or harm that might occur to participants to courses organised by Swing Dance Luxembourg for whatever reason. Damage claims against the organisers are not possible. The participants are liable for damages to rooms, objects and to third parties caused by themselves.

  1. Behavior in the Venue

Smoking is not allowed in the venue. We ask you to wear dancing shoes or shoes with clean soles in the classrooms. Individuals who disturb the classes can be dismissed by the organisers. Should you wish to change before or after a class, please use the bathroom.

  1. Safe Environment

We believe in creating an environment where people in the swing dance community can learn, dance, grow and feel safe. Discrimination or harassment on the basis of sex, gender, national origin, ethnicity, religion, race, sexual orientation, disability or any other ground will not be tolerated. The participants and organisers promise to work together to keep dance spaces and venues safe and welcoming for all people. Swing Dance Luxembourg reserves the right to refuse access to courses in case these rules are not respected.

By registering and accepting these terms, participants declare that they have read and agree with the organiser’s safe environment guidelines to be found here.

Participants who experience discrimination, harassment or violence are invited to trust and approach a board member of Swing Dance Luxembourg of their choice on a confidential basis. The organisers engage to listen attentively and define the measures to be taken together with the person concerned. The organisers believe that they can work together with the involved participants on a trustworthy and confidential basis.

  1. Privacy policy 

By filling out and submitting their registration, the registrant agrees to the processing of his/her personal data (Name, Surname and Email) by the Swing Dance Luxembourg organisers as necessary for the completion of the registration process. We only collect personal information that is necessary to meet our association’s needs and to provide you with the services you have requested. All courses are held in public spaces. Photographs and videos may be taken at these occasions and we may publish such photographs or videos without additional express consent of the participants. Swing Dance Luxembourg will not use such photographs or videos for purposes other than documenting or promoting the activities of the club. Should you have any questions or concerns regarding your image being taken, please contact us in advance.
